How the totals are worked out
Each item’s amount is its quantity times its rate, rounded to the cent. The invoice then adds up in this order:
| Step | How it’s worked out |
|---|---|
| Subtotal | The sum of every item’s amount |
| Discount | A percent of the subtotal, or a fixed amount, taken off before tax |
| Tax | The tax rate times the taxed items (after their share of the discount), plus shipping if you tick it |
| Total | Subtotal minus discount, plus tax, plus shipping |
| Balance due | Total minus any amount already paid |
All money is counted in whole cents, so the lines always add up to the total exactly.
Sales tax, VAT, GST and HST
The currency you pick sets the usual tax name. You can rename it, for example to “GST + PST” or “State tax”.
| Currency | Tax name | Registration number label | Paper |
|---|---|---|---|
| US $ | Sales tax | EIN or tax ID | Letter |
| UK £ | VAT | VAT number | A4 |
| CA $ | GST/HST | GST/HST number | Letter |
| AU $ | GST | ABN | A4 |
| NZ $ | GST | GST number | A4 |
| Euro € | VAT | VAT number | A4 |
In the US, sales tax rules depend on the state and on what you sell, and many services are not taxed. Untick the tax box on any item that is exempt.
Saved invoices and clients stay on your device
Most invoice apps keep your invoices on their servers and ask you to sign up, or charge to save more than a few. Here, Save stores the invoice and the client in your browser only. From the Saved tab you can open an invoice, duplicate it for a repeat job, or delete it. Your own details, logo, tax rate and terms carry over to each new invoice.
